FieldPro Direct (Order & Delivery Module)
The Order & Delivery module is a dedicated solution designed to manage your entire distribution chain from the moment a sales representative or retailer places an order to the final delivery and payment collection.
It is specifically built to solve common "pain points," such as disconnected order processes, manual follow-ups with drivers, and a lack of real-time visibility into customer credit limits or order history.
Why Use the Order Module?
This module replaces disconnected, manual processes with a streamlined digital workflow. Key benefits include:
• Enhanced Visibility: Instantly track order statuses and delivery progress without manual follow-ups.
• Precision Pricing: Automatically apply complex pricing rules, discounts, and promotions (like "Buy X, Get Y") based on the specific customer.
• Inventory Control: Maintain accurate records of stock levels across both warehouses and delivery vans.
• Professional Presentation: A high-quality product catalogue view that makes it easier for sales reps to showcase items compared to traditional lists.
How it Works for Your Team
The module provides tailored experiences based on the user’s role:
For Sales Representatives (Mobile App)
• Seamless Ordering: Sales reps can switch directly from the core app to the order module to place a "New Order" for a customer.
• Flexibility: They can edit orders within a 24-hour window and view a customer’s order history to identify buying patterns.
• Invoicing: Generate and print sales invoices directly at the customer's location.
For Drivers (Delivery Management)
• Optimised Routes: Drivers receive a list of deliveries for their daily route in an efficient sequence.
• Proof of Delivery: The app acts as a checklist (delivery manifest) where drivers can collect proof of delivery.
• Van Stock Tracking: Drivers can track items remaining in their van to ensure no sale opportunity is missed.
For Managers (Web Dashboard)
• Centralised Control: View and manage all orders in one place using filters, sorting, and search tools.
• Warehouse Oversight: Warehouse managers can accept, edit, or reject incoming orders and monitor delivery statuses.
• Analytics: Access order analytics to understand performance and fulfillment trends.
Core Use Cases
The module supports three primary ways of doing business:
• Direct Sales: Sales representatives visit customers in person to take and confirm orders.
• Van Sales: Representatives sell products directly from a van, updating stock in real-time and providing instant digital receipts.
• B2B Distribution: Managers assign tasks to field agents to visit dealers and collect purchase orders.
Two Ways to Order: Module vs Retailer App
It is important to understand how your team and your customers interact with the system:
• The Order Module (for Sales Reps): This is a seamless extension within the core FieldPro app. A sales rep logs in, selects a customer, and places an order on their behalf.
• FieldPro Direct (for Retailers): This is a separate "Retailer App" (e.g., Nestlé Turkey use case) where the customers themselves log in to place orders directly, view their own order history, and participate in loyalty programs.

Key Benefits for Your Team
The system provides a tailored experience for every role in your organisation:
• For Sales Reps: Access to a visual product catalogue (rather than small text lists), the ability to view customer buying patterns through order history, and a 24-hour window to edit orders if needed.
• For Drivers: A digital delivery manifest (checklist) to confirm loading, optimised routing for daily deliveries, and the ability to collect proof of delivery or manage debt collection.
• For Managers: A centralised dashboard to filter, sort, and tag orders, monitor warehouse stock levels, and view real-time order analytics.
The module handles complex commercial rules automatically, so your reps don't have to calculate them manually:
• Pricing Priority: The system automatically checks if a customer belongs to a Price Group (e.g., "Wholesaler"). It applies the group price first; if none exists, it falls back to the generic price.
• Advanced Promotions: You can set up percentage/fixed discounts or bundle offers (e.g., "Buy 3, Get 1 Free") that apply automatically during the checkout process.
• Packaging Options: Sell products in different formats (e.g., by the can or by the 6-pack) with unique prices for each.
Inventory & Delivery Tracking
• Stock Visibility: Track items across Warehouses (static) and Vans (mobile). When a driver loads their van, the system can automatically deplete stock from the warehouse.
• The Delivery Journey: Deliveries move through a clear, color-coded lifecycle: To Prepare → To Load → In Transit → Delivered/Returned.
• Professional Receipts: You can fully customise receipt headers and delivery notes to include your company logo, partner details, and custom templates.
Key Concepts to Understand
• Offline Capability: Orders created while offline will automatically sync once a data connection is restored.
• The Order Lifecycle: Orders are not static; they move through customisable statuses (e.g., Draft → Waiting to be Confirmed → Confirmed). This ensures everyone knows exactly where an order stands.
• Storage Types: The system distinguishes between Warehouses (static storage) and Vans (mobile storage). When a driver loads their van, the system can automatically update stock levels via a "Stock Movement".
• Pricing Groups: You can categorise customers into Price Groups. For example, a "Wholesaler" group might automatically see different prices than a "Retailer" group.
• ERP Integration: The module is designed to connect with your existing external ERP systems to sync stock levels and prices automatically.
Analogy for Understanding: Imagine your sales process is like a commercial flight. The Order Module is the booking system where the Sales Rep (Travel Agent) or the Retailer (Passenger) reserves a seat. The Warehouse Manager is the ground crew preparing the plane (the order), and the Driver is the Pilot, following a pre-planned route to ensure the cargo arrives safely. The Pricing Engine is like the airline's automated system—it ensures that a "Frequent Flyer" (Price Group customer) automatically gets their special rate without the agent having to look it up.
