How it Works for Your Team
The module provides tailored experiences based on the user’s role:
- For Sales Representatives (Mobile App)
• Seamless Ordering: Sales reps can switch directly from the core app to the order module to place a "New Order" for a customer.
• Flexibility: They can edit orders within a 24-hour window and view a customer’s order history to identify buying patterns.
• Invoicing: Generate and print sales invoices directly at the customer's location.
- For Drivers (Delivery Management)
• Optimised Routes: Drivers receive a list of deliveries for their daily route in an efficient sequence.
• Proof of Delivery: The app acts as a checklist (delivery manifest) where drivers can collect proof of delivery.
• Van Stock Tracking: Drivers can track items remaining in their van to ensure no sale opportunity is missed.
- For Managers (Web Dashboard)
• Centralised Control: View and manage all orders in one place using filters, sorting, and search tools.
• Warehouse Oversight: Warehouse managers can accept, edit, or reject incoming orders and monitor delivery statuses.
• Analytics: Access order analytics to understand performance and fulfillment trends.
Key Concepts to Understand
• The Order Lifecycle: Orders are not static; they move through customisable statuses (e.g., Draft → Waiting to be Confirmed → Confirmed). This ensures everyone knows exactly where an order stands.
• Storage Types: The system distinguishes between Warehouses (static storage) and Vans (mobile storage). When a driver loads their van, the system can automatically update stock levels via a "Stock Movement".
• Pricing Groups: You can categorise customers into Price Groups. For example, a "Wholesaler" group might automatically see different prices than a "Retailer" group.
• ERP Integration: The module is designed to connect with your existing external ERP systems to sync stock levels and prices automatically.
Getting Started
The module is typically accessed via the ERP section on the left-hand menu of your web dashboard. On mobile, it functions as a seamless extension of the core FieldPro app; when a user selects "New Order," they are automatically transitioned into the order interface.
Analogy for Understanding: Think of the Order Module like a high-end restaurant's digital system. The Sales Rep is the waiter taking an order on a tablet; the Manager/Warehouse is the kitchen receiving that order instantly to start preparation; and the Driver is the delivery person who uses the system to find the best route to the customer’s house, ensuring the meal (the product) arrives exactly as ordered and at the right price.
